Facilities Maintenance Work Order Policy
Purpose - The purpose of this policy is to establish a clear, consistent process for requesting, confirming, editing, and canceling work order requests. It defines how work is initiated and communicated, sets expectations for approvals and updates throughout the request lifecycle, and ensures service delivery timelines. In addition, the policy provides guidance on service expectations for repairs, maintenance, and event-related work, including standards for responsiveness, coordination, and completion so that stakeholders receive reliable support and accurate information from start to finish.
Scope - The entire Bryant community can submit maintenance requests through the WebTMA portal. WebTMA is a user-friendly, always-available tool designed to streamline maintenance and service requests from the moment an issue is reported through completion. With recent enhancements, users will now receive an improved level of customer service, including the ability to see when work is expected and access the most up-to-date information related to their maintenance requests.
Request Types
- Emergency
- Emergency requests require same day service. Examples include:
- All toilets clogged (*No access to another toilet)
- No Heat (Critical loss of heat)
- No Cooling (Space is unbearably hot)
- Loss of Power
- Visible, Active Leaks (Cannot be contained with a small bucket)
- Downed Trees (Blocking Roadways)
- Major pest issues
- Any life safety issues (Smoke, Fire Alarms etc.)
- If you have an emergency request, please call extension 6052. Your request will be addressed on the same day.
- Emergency requests require same day service. Examples include:
- Routine
- Routine requests do not require same day service. Examples include:
- Single Toilet Clogged (*Still have access to 2nd Toilet)
- Hole in Wall
- Painting
- Shelving Requests
- Ceiling Tiles
- Carpet Issues that do not cause a trip issue
- Minor A/C Issues (Slightly uncomfortable, requesting a couple degree change)
- Minor Heat Issues (Slightly uncomfortable, requesting a couple degree change)
- Trash Pickup
- Routine requests will be processed and scheduled based on workloads and date received. In general, please allow up to 3 weeks for completion of your Routine request. We will respond to your requests as soon as possible so some requests may be completed before the 3-week period. Some requests may take longer depending upon the time of the year where other service takes a higher priority such as students' move-in. In addition, some requests may require parts that may have long lead times.

Submitting a Routine Request
Please submit a routine request here. Please fill out the following information for each request:
- Your name
- Your phone number
- Your email address
- The Facility defaults to Bryant University
- Select the Building from the drop-down menu of the building location that work is requested
- Then, Select the area for that Building from the drop-down menu
- Under Request, please describe the issue and the work requested. Please be as specific as possible and upload any pictures you may have.
- Click on Submit

- The Facility defaults to Bryant University
- Select the Building from the drop-down menu of the building location that work is requested
- Then, Select the area for that Building from the drop-down menu
- Under Request, please describe the issue and the work requested. Please be as specific as possible and upload any pictures you may have.
- Click on Submit
Status of Request/Work Order
After submitting your request, you will receive an email confirming receipt of your request. Once Facilities reviews your request, a work order will be created, and you will receive an additional email containing the work order identification number. Keep this number handy, as you will need it to check on the status, updates and notes related to your work order when visiting the Facilities Work Order page.
Assistant Directors will continually manage the request through completion and update estimated completion dates of all services.
To check on the status of your workorder, you will need to enter your work order number, and you should be able to see:
- Estimated End Date
- Status
- Notes
Work Order statuses are as follows:
- Created: Work order has been accepted into the system
- In Progress: Work order has been dispatched, and a general comment will follow
- Scheduled: Future date of completion has been determined based on request
- Deferred: Work order has been postponed, general comments will follow
- Awaiting Material: Awaiting material or parts for job
- Awaiting Contractor: Work order requires outside contractor
Scheduled dates are just estimates and may change due to other priorities. If you have any questions or concerns about the status of your work order, please call extension 6052.

Event Support
The primary goal of event support provided by Bryant's Facilities Management team is to ensure that facilities are clean, safe, and ready for all stages of your event — from pre-event setup to post-event restoration — while minimizing disruption to regular operations. For certain large events such as Commencement and Women’s Summit, Facilities Management works with the appropriate event committee to ensure that the event set-up is proper. For all other routine events, please follow the below procedure:
- Reserve your space in 25Live
- When a space has a flexible layout, the 25 Live system has a floor plan layout on the details page of a reservation. Other facilities setup service should be included in the Comments section of the reservation. Please allow 14 days' notice for any facilities setup requirements. A facilities charge may be assessed depending upon the date, time, or size of event.
- Even though you have provided facilities setup information in your 25Live request for an event, you still need to enter a facilities work order. Please enter information for Building and Area. Under Request, please enter “Event Setup – see 25 Live” and provide event date.
